Parts & Warranty Coordinator

Position Summary

You own the parts room and the warranty pipeline. Equipment and parts come in. Failed parts go back. Inventory stays honest. Techs cannot sell or repair what they cannot find, and the company cannot recover money sitting in a box. If you like order, paperwork that actually gets done, and keeping the board moving, this is the seat.

Objectives

• Receive all incoming parts and equipment, match to POs, and put them in the right bin the same day
• Keep shop inventory accurate: counts, min/max, and no mystery shelves
• Process every warranty claim start to finish — tag, paperwork, photos, serials, deadlines
• Run failed parts and equipment back to vendors and follow them until credit hits
• Get the right part to the right tech without losing the afternoon
• Flag backorders, core returns, and aging inventory before they become write-offs
• Keep the parts area clean enough that anyone can find a capacitor in 30 seconds

Competencies

• Detail first — serial numbers, model numbers, and dates are not optional
• Follows through. A warranty left in the truck is a warranty we never get paid for
• Organized under pressure when three techs need parts at once
• Comfortable driving local vendor runs and representing the company at the counter
• Uses software and spreadsheets; does not keep inventory in their head

Education & Experience

• 1+ year receiving, parts, warehouse, or HVAC supply experience preferred
• Valid driver’s license and clean driving record
• Able to lift 50+ lbs and move equipment
• HVAC parts knowledge is a plus (we will train the catalog)
• Comfortable with invoices, RMAs, and vendor counters

Total Rewards

• $17–$22/hr; bonus program in development and not part of compensation until launched

• Shop role with a company vehicle or run truck for vendor trips as assigned
